Data entry and editing

Enter values quickly, edit cells safely, fill series, use AutoFill, and avoid common entry mistakes.

QUICK NOTES
  • Double-click the fill handle (bottom-right corner of a cell) to auto-fill a formula down to match the length of an adjacent column, instead of dragging by hand.
  • Ctrl+D fills the selection down from the top row; Ctrl+R fills right from the left column.
  • Ctrl+E (Flash Fill) spots a pattern from one example and fills the rest -- useful for splitting or combining text without a formula.

Page setup and printing

Control print area, page breaks, headers, footers, scaling, margins, and PDF exports.

QUICK NOTES
  • Page Layout > Print Area > Set Print Area limits printing to a chosen range instead of the whole sheet.
  • View > Page Break Preview shows exactly where pages will split, and lets you drag the blue lines to move a break.
  • Use Page Layout > Margins/Orientation/Size for the basics before reaching for Scale to Fit -- most print surprises come from skipping this step.
05Intermediate

Workbook protection basics

Lock cells, protect sheets, hide formulas, and understand what protection does and does not secure.

QUICK NOTES
  • Protect Sheet stops accidental edits to locked cells; it is not encryption and does not stop someone from opening the file.
  • For real confidentiality use File > Info > Protect Workbook > Encrypt with Password, which requires a password just to open the file.
  • Cells are locked by default -- unlock the ones meant to stay editable (Format Cells > Protection) before turning Protect Sheet on.
