02Beginner
Selection and editing shortcuts
Select data regions, edit cells, fill formulas, and manipulate rows or columns quickly.
QUICK NOTES
- Ctrl+Shift+Arrow extends the selection to the last used cell in that direction -- the fastest way to select a whole column or row of data.
- Ctrl+Space selects the entire column, Shift+Space selects the entire row, of the active cell.
- Ctrl+Plus inserts a row/column, Ctrl+Minus deletes one, for whatever is currently selected -- no need to right-click every time.
03Beginner
Quick Access Toolbar
Put your repeated commands where they are one shortcut away.
QUICK NOTES
- Right-click almost any ribbon button and choose 'Add to Quick Access Toolbar' for a one-click shortcut, no menu digging needed for it again.
- File > Options > Quick Access Toolbar gives full control over order and lets you add commands that aren't on the ribbon at all (e.g. Speak Cells).
- Each button added gets a number (Alt+1, Alt+2, ...) you can press instead of clicking, once the toolbar is set up the way you like it.
04Intermediate
Templates and reusable workbooks
Save repeatable layouts, formulas, and formatting as reliable starting points.
QUICK NOTES
- Save a finished layout as a .xltx template (File > Save As > Excel Template) so opening it always starts a new, un-overwritable copy.
- Keep formulas and formatting in the template; leave input cells empty so it's obvious what needs filling in.
- Store shared templates in a common folder or SharePoint so the whole team starts from the same version.
